Job Description: 

We are seeking a highly organized and motivated Community Facilities Manager to oversee the maintenance, operation, and utilization of community facilities for a highly amentized master-planned community. The Community Facilities Manager should have a strategic and mechanical mindset that can identify issues and problems before they occur. Recognizing the importance of prioritizing the customer experience and building a culture of accountability, action, and prevention.  The Community Facilities Manager will work collaboratively with residents, vendors, and other stakeholders to create a positive and functional environment for community members.

Responsibilities:

  • Develop and implement a comprehensive preventative maintenance program for common areas, facilities, and amenities.
  • Identify and implement improvements to existing infrastructure to guard against future potential failures.
  • Coordinate routine inspections to identify and address maintenance issues promptly.
  • Source, negotiate contracts, and manage relationships with external vendors, contractors, and service providers for maintenance and repair services.
  • Has maintenance budget responsibility and accountability.
  • Collaborate with the HOA board to develop and manage the facilities budget.
  • Develops cost saving initiatives-bringing work in house, vendor discounts, efficiency gains.
  • Establish and communicate emergency response plans for facility-related incidents.
  • Coordinate with relevant authorities and services to ensure a swift response to emergencies.
  • Communicate maintenance schedules, project updates, and relevant information to the Executive Director and Board of Directors as needed.
  • Communicate effectively to convey policies, procedures, and any updates related to community facilities.
  • Oversee the usage and maintenance of community amenities such as parks, pools, fitness centers, gates, pavilions, docks, ramps, and other recreational areas.
  • Understand and maintain gate systems and implement overarching plans to streamline gates and controls for the entire community.
  • Maintain accurate records of maintenance activities, repairs, and facility-related expenses.
  • Provide regular reports to the Community Manager including weekly and monthly reports.
  • Attend Board meetings and provide updates to the Board.
  • Explore and implement environmentally sustainable practices for facility management.
  • Introduce energy-efficient solutions and waste-reduction strategies.

Qualifications:

  • Bachelor's degree in Facility Management, Business Administration, or a related field a plus.
  • Proven experience in facility management or a similar role.
  • Proficient with various mechanical items and technology including servers, Wi-Fi, VFD’s, controllers, HVAC systems, etc.
  • Strong organizational and multitasking abilities.
  • Excellent interpersonal and communication skills.
  • Knowledge of relevant safety and compliance regulations.
  • Proficiency in facility management software is a plus.
